How to use it

  1. 1Capture every commitment during the meeting, with an owner and a date. Items written up afterwards lose half their detail.
  2. 2Open the next meeting by reviewing last week's items before any new discussion.
  3. 3Track the completion rate each week. Below about 80% means the meeting is generating more commitments than the team can absorb.
  4. 4Never roll an item over twice. Drop it, delegate it, or move it to the open issues list.

Remember: Action items are the "doing" that results from your Weekly Leadership Meeting discussions. If you're not completing 90%+ every week, you have an accountability issue that needs to be solved!

Common questions

What is a good action item completion rate?

Most functioning teams close around 80% of their weekly commitments. Consistently below that usually means the meeting is generating more commitments than capacity, not that people are failing individually.

What should happen to items that never get done?

After one rollover, decide rather than re-list. Either drop it, hand it to someone with the capacity, or treat it as an open issue that needs solving rather than a task that needs doing.
