Meeting Effectiveness Scorecard

Work out what a recurring meeting actually costs in salary time, score whether it earns that, and track the before-and-after when you change it. Free, no email required.

Free and ungated. Opens in Word, Google Docs or Pages. No macros, no signup, no email wall.

What this template includes

  • A cost calculation

Attendees multiplied by loaded hourly rate multiplied by duration multiplied by frequency โ€” the annual number is usually the surprising one.

  • An effectiveness score

A short assessment of whether the meeting produces decisions, and what it would take to earn its cost.

  • A before-and-after page

Space to record the cost and score before a change and after it, so the change is evaluated rather than assumed.

  • Attendee audit

Prompts for who genuinely needs to be in the room, which is usually the largest single lever on cost.

How to use it

  1. 1Calculate the loaded hourly cost of every attendee, not just base salary.
  2. 2Multiply by duration and by how often the meeting recurs across a year.
  3. 3Score the meeting against the effectiveness criteria honestly.
  4. 4Change one thing โ€” usually the attendee list or the agenda โ€” and rerun both numbers a month later.
  5. 5Compare the annual cost against what the meeting actually decided this quarter.

Common questions

How do you calculate the cost of a meeting?

Multiply each attendee's loaded hourly cost โ€” salary plus benefits and overhead, not base salary alone โ€” by the meeting length, add them together, then multiply by how many times the meeting recurs in a year. A weekly ninety-minute meeting with eight senior people is usually a six-figure annual line item.

Does a high cost mean a meeting should be cancelled?

No. An expensive meeting that produces the decisions running the company is good value. The calculation is useful because it forces the comparison to happen at all, and because it usually points at the attendee list rather than the meeting itself.

Is this template free?

Yes, with no email gate. It is a plain .docx that opens in Word, Google Docs or Pages.
